Start with the award obligations

List each narrative, financial, attachment, approval, and submission item as a separate control. Record the source requirement and reporting period so the team is not coordinating from memory or from an old template.

Name one accountable owner

Program, Finance, and Development may all contribute, but each deliverable still needs one accountable owner. Add a backup owner for deadlines that cannot wait for one person's availability.

Separate inputs from finished evidence

A promised metric or draft paragraph is not the same as review-ready support. Track the source file, date range, reviewer, and evidence location separately from the person supplying the input.

Use internal dates before the funder date

Work backward from submission: contributor deadline, reconciliation deadline, approval deadline, and final portal date. This exposes blocked work while there is still time to resolve it.

Keep decisions in the handoff

When the team accepts a variance explanation, changes a figure, or excludes an attachment, record the decision and approver next to the affected requirement. That prevents the same question from reopening during final review.

Close with submission proof

The handoff is not complete at approval. Preserve the submitted package, portal or email confirmation, submission date, and any follow-up request so the next reporting cycle starts from a trustworthy record.
